The Challenge
A fast-growing regional pest control company had built a strong reputation for service quality, but rapid growth exposed operational inefficiencies.
As demand scaled, the cracks showed up in four places:
- Reactive scheduling: Routes were planned manually every day with no optimization, so drive time and missed windows compounded.
- Founder dependency: Every escalation and schedule change ran through the founder, creating a daily bottleneck.
- Scaling without systems: Headcount doubled, but processes stayed informal — service quality varied tech to tech.
- Inconsistent client communication: Appointment confirmations and follow-ups were handled manually, producing an uneven customer experience.
The Solution
We followed a phased “crawl, walk, run” approach to build trust, strengthen the data foundation, and gradually introduce AI.
- Phase 1 — Foundation: Mapped operational workflows, organized client and service data, and automated appointment confirmations.
- Phase 2 — Intelligence: Introduced AI-powered route optimization and standardized service playbooks across the technician team.
- Phase 3 — Autonomy (In Progress): Developing AI-assisted dispatching and predictive scheduling so the system can handle day-of changes without founder intervention.
