1. Introduction
This policy applies to welaunch.ai, our communications, and the artificial intelligence agents, automations and back-office systems we build, host or operate. By using the Services, you acknowledge this policy.
2. Our role: controller and processor
We act as a controller for website visitors, prospects, applicants, vendors and partners. When operating systems for a client, we process information on that client’s written instructions and their privacy notice governs the individual relationship.
3. Information we collect
We collect information you provide, information generated through your use of the Services, and limited business information from lawful third-party sources.
- Identity, contact, company, enquiry, scheduling and billing information.
- Recruitment records and the content of communications.
- Device, connection, usage, cookie and message-engagement data.
- Business enrichment, professional-network and referral information.
4. Why we use your information and our legal bases
We use information to respond to enquiries, deliver and secure Services, invoice, communicate, market, recruit, meet legal obligations and defend claims. Depending on context, we rely on contract, consent, legal obligation or legitimate interests.
5. Artificial intelligence, automation and human oversight
Interactions may be automated and may use third-party model providers. We do not train general-purpose models on client data by default. AI output can be wrong and must not be the sole basis for consequential decisions; human escalation is available.
6. Call, meeting and message recording
We may record and transcribe interactions for notes, quality, training and dispute resolution. We provide notice and obtain consent where required; you may ask us to proceed without recording.
7. Cookies and similar technologies
We use necessary, analytics, functional and advertising technologies. Where required, non-essential technologies are used only with consent. Browser controls and Global Privacy Control may also be used.
8. How we share information
We do not sell personal information for money. We may share it with contracted service providers, clients for whom we act as processor, professional advisers, referral partners, transaction counterparties, or authorities where law and safety require.
9. Your privacy rights
Depending on location, you may request access, correction, deletion, restriction, portability or withdrawal of consent, and object to marketing, targeted advertising or certain profiling. Send requests to support@welaunch.ai with the subject “Privacy Rights Request.”
10. Data retention
We retain information only as long as needed. Typical periods include 24 months for inactive prospects, seven years for contracts and accounting, twelve months for recordings and unsuccessful applications, and ninety days for AI prompts and system logs.
11. Security
We use encryption, role-based access, multi-factor authentication, environment separation, logging, monitoring and vendor review. No transmission or storage method is completely secure.
12. International transfers
Information may be processed in the United States, India and other countries. Where required, we use adequacy decisions, Standard Contractual Clauses or equivalent safeguards.
13. Children
The Services are business-to-business and not directed to children. We do not knowingly collect information from anyone under eighteen.
14. Third party websites and integrations
Third-party sites and services have their own terms and privacy practices. We do not control and are not responsible for them.
15. Changes to this policy
We may update this policy as our practices, technology or legal obligations change. Material changes will receive appropriate advance notice.
